AYA FIBER DYEHOUSE WORKSHOP TERMS & CONDITIONS

Fiber Workshops require a great deal of planning!

Instructors and students are typically traveling from out of town, travel arrangements must be secured and supplies need to be ordered in advance. Registrations require a huge amount of administrative time.  Class sizes are limited (6-10) so that each student has adequate space to work in. Once all spaces have been filled, the space is taken off the market and students are put on a wait list. For these reasons we have a pretty strict cancellation policy:

1. ALL REGISTRATIONS WILL BE MADE ONLINE VIA WEBSITE

2. All classes are 9:00 am- 4:00 pm unless otherwise specified


By signing up for a workshop, you agree to these terms and conditions. 

  • DEPOSITS AND FULL PAYMENTS:  Aya Fiber Studio workshops require a non-refundable deposit to reserve your spot. The remaining balance is due 45 days before the start of the workshop. You will receive a reminder if your balance is not paid 30 days from the workshop. While I do appreciate those paying in full, It is suggested to ONLY pay the deposit until the class has been confirmed! (meets min enrollment) At this point an email will be sent to everyone confirming the class is a GO

  • A deposit is your commitment to joining the workshop. Our classes are very popular, and our studio space is limited; once you have reserved your spot in the class, this excludes others from registering. Our reservation system will only register as many students as we have space for. For this reason, the Aya Fiber Studio has a strict cancellation policy and we must charge cancellation fees to all participants who change their plans. We do understand that sometimes plans can go astray, however, we rely on advance registrations when ordering materials, and planning and cancellations cannot always be filled. You may transfer your deposit to another workshop being held within 1 year. These deposits don’t typically sit in an account, they are used to cover initial expenses for the workshop like registration costs, facilitator contracts, material acquisitions, transportation, and housing/studio arrangements for instructors.

  • Visiting Instructor Workshops are considered as “PENDING” until the Minimum Enrollment has been met. Once the minimum enrollment has been met or class has been given the GO AHEAD- you will receive an email confirmation. At this time students can begin making travel arrangements and also pay the remaining balances due for their workshop. AT THIS POINT: supplies will be ordered , teacher will purchase airfare and order class supplies and other students can begin making travel plans; your cancellation could affect all registered students if the class has low enrollment.

  • Class NON-REFUNDABLE Deposits are typically 20% of the class price or a min of $80

  • Registrations are accepted on a first-come, first-served basis. Our workshop enrollments are limited. We try to limit class size to 10 students, occasionally we will have more if the class does not require a lot of table space. ( maybe 2 more)

  • Most classes with visiting instructors will have a minimum enrollment of 6 students for the class to be held, For workshops I am teaching (Suzanne Connors) I will teach the classes with less than minimum enrollment and they are almost always on schedule.

  • The Studio may wait up until 2 weeks before a class is scheduled to cancel or reschedule due to low enrollment. Early registration is encouraged, as many workshops fill quickly (especially during Florida's “high-season) and also because if you wait too long, travel accommodations can be difficult to secure, both for the students and the instructor.

  • The Aya Fiber Studio assumes no responsibility if you are unable to secure travel accommodations.


    STUDENT CANCELLATIONS:

Participant cancellations must be made in writing by mail, or email (suzanne@ayafiberstudio.com.)

No phone calls, or FB Messenger, please! Even if you cancel via the self-service link on Corsizio- YOU MUST CONFIRM YOUR CANCELLATION IN WRITING! The system does not notify us of self-serve cancellations and refunds are not automatic. All refunds will be less the deposit as a cancellation fee and will be returned to the same account payment was made using

We do understand that sometimes things just happen so the owner has the only right to be flexible here, please email me!

All deposits are non-refundable, but I am also reasonable!

UP to 45 DAYS BEFORE WORKSHOP or Until CLASS is a confirmed GO

  • If the withdrawal request is received over 45 days before the start of a workshop, your registration will be refunded less a cancellation fee equal to class deposit.

    WORKSHOP CAN BE TRANSFERRED TO ANOTHER CLASS WITHOUT PENALTY AT THE DISCRETION OF AYA FIBER STUDIO

    BETWEEN 45-30 DAYS BEFORE WORKSHOP:

  • Deposit Forfeited with Deposit Payment only

    or

    WORKSHOP CAN BE TRANSFERRED WITHOUT PENALTY AT THE DISCRETION OF AYA FIBER STUDIO


    LESS THAN 30 DAYS BEFORE THE WORKSHOP-

  •  No refunds will be given and all payments will be forfeited. Full payment is required no later than 30 days before the workshop or once you are contacted. At this point, all available seats have been sold out and your registration has prohibited others from registering. Our teachers have already purchased airfare and lodging and purchased, prepared and shipped materials for the class. We encourage you to find a friend to take your place in class. However; because most of our students are traveling, waitlist spaces can be difficult ( and expensive) to fill at the last minute.

  • Last-minute cancellations are extremely difficult for our teachers and studio, as we are already running classes at reduced numbers, and materials/class preparation has been done at least 2 months before any workshop to accommodate for shipping.

  • Registrations can typically be transferred to another Aya Workshop (within 1 year) without penalty but must be requested at the time of cancellation. You may ONLY transfer this credit 1 time; if you cancel again your payment is subject to normal cancellation policies. I cannot carry student credits for longer than 1 year as it becomes an accounting nightmare. You may also transfer your space to another student without penalty.

  • For withdrawals after a workshop has been confirmed or “no-shows,” full tuition/ materials are forfeited.

  • Special Order materials for classes are not refundable- Occasionally, an Instructor will require fabrics or supplies to be specially ordered for a class. Once ordered for the class, these fabrics are yours and the studio will forward them to you with the costs of shipping. Or we will hold the fabric until class completion and try to sell it during class. In this case, fabric cost will be refunded less 10% handling fees.


STUDIO CANCELLATIONS:

WHAT IT WOULD TAKE FOR THE STUDIO TO CANCEL A WORKSHOP:

  • The Aya Fiber Studio does everything possible to NOT cancel a workshop. We understand that all participants have made plans such as plane tickets, hotel reservations, and rental cars, and have purchased materials and equipment, so canceling a workshop would be an incredible inconvenience for EVERYONE (with or without travel insurance).

  • The only time we will cancel a workshop is if class minimum enrollment is not met or in an emergency that can’t be ignored. Any act of God, including but not limited to hurricanes, pandemics, etc. that causes a cancellation beyond the control of The Aya Fiber Studio will result in the workshop being rescheduled to another date (pending instructor availability) All registered students will be automatically transferred to the new class date.

  • If an Instructor is unable to travel due to a pandemic/ emergency, the Aya Fiber Studio reserves the right to hold the class as a hybrid workshop. Hybrid workshops will ONLY be held for registered students.

  • If a class is canceled by the Studio due to insufficient enrollment, illness of the instructor, or emergencies beyond our control, tuition will be refunded in full or you can choose a credit for an alternative class on our schedule to be taken within a 1-year TIME-FRAME. 

  • The Aya Fiber Studio is not responsible for providing make-up classes or issuing refunds, credits, or transfers for sessions missed because of illness, emergencies, or other events beyond our control.

  • The Studio recommends purchasing travel insurance if you are purchasing flights early, this is helpful if a class is canceled due to low enrollment or other emergencies beyond our control. (Cancel for any reason) We recommend waiting for confirmation email or calling to check enrollment before purchasing flights, we typically wait up until 15 days before the class start date to cancel or reschedule a class, especially if other students have already made travel arrangements. If you have not heard from us please call before making travel arrangements. Our "preferred" hotel will typically refund room cancellations without penalty.

  • The Aya Fiber Studio reserves the right to substitute facilitators, hold hybrid workshops, reschedule or cancel workshops due to circumstances beyond its control.


    WAITLISTED CLASSES:

  • Waitlists will be filled in the order they were registered; you must register for the waitlist online - our system will automatically notify you when a space becomes available. I can only hold the class registration for 24 hours once notice has been sent. If I do not hear from you, I will move on to the next person in line. IF YOU RECEIVE NOTIFICATION, either register immediately or contact me by email or phone to let me know your intent. Note: With Corsizio registration system, you can log in and cancel registration yourself


  • All information provided to the Aya Fiber Studio is kept confidential and is NOT shared, sold, or otherwise used by any entity

  • We do not keep credit card information on file for the purpose of charging balances. Please contact us or use the web site to pay the balance



THE INSTRUCTOR RESERVES THE RIGHT TO REMOVE DISRUPTIVE STUDENTS FROM THE CLASS IF THEY PRESENT A THREAT TO THE EXPERIENCE OF OTHER STUDENTS.          

There will be no refunds for students who are dismissed for cause, including no refunds for tuition for missed classes, unused lodging or meals or lab and material fees

Studio cannot be responsible for non-refundable travel or accommodation costs.



MEDIA RELEASE

When registering for a class, you give The Aya Fiber Studio the right to use images of you, or your work, purely for publicity, promotional and marketing materials relating to Studio programming. Your name will never be used unless we specifically ask for your permission.

If, for any reason, you feel very strongly against having any images used, please contact us in writing or via email (suzanne@ayafiberstudio.com) following your registration, so that we may keep it on file. If you have any questions about any workshop please do contact me via email suzanne@ayafiberstudio.com before registering so we can ensure, as best as possible, that you are registering for a class that you will enjoy.

After registering, the organizers accept no liability in assuring that the class meets your expectations.



PROPERTY DAMAGE

The Aya fiber Studio reserves the right to refuse service, to charge student for damaged studio property, and is not responsible for students' lost or damaged property

UPON PURCHASING A PLACE IN ANY OF OUR CLASSES YOU AGREE THAT WE ARE NOT RESPONSIBLE FOR ANY THEFT , INJURY OR ILLNESS THAT COULD OCCUR IN OUR PREMISES OR IN OUR WORKSHOPS.
