AYA FIBER DYEHOUSE WORKSHOP TERMS & CONDITIONS

Fiber Workshops require a great deal of planning!

Instructors and students are typically traveling from out of town, travel arrangements must be secured and supplies need to be ordered in advance. Registrations require a huge amount of administrative time.  Class sizes are limited (6-10) so that each student has adequate space to work in. Once all spaces have been filled, the space is taken off the market and students are put on a waitlist. For these reasons, we have a pretty strict cancellation policy:

1. ALL REGISTRATIONS WILL BE MADE ONLINE VIA WEBSITE

2. All classes are 9:00 am- 4:00 pm unless otherwise specified


By signing up for a workshop, you agree to these terms and conditions. 

**DEPOSITS AND FULL PAYMENTS:**

To reserve your spot in an Aya Fiber Studio workshop, a non-refundable deposit is required. The remaining balance must be paid 45 days before the start of the workshop. Payment is late at 30 days. You will receive a reminder ( 1st notice) about this balance about two months (60 days) before the class. If your balance is not paid 45 days before the workshop, you will receive another reminder.

**Important:** Please only pay the deposit until the class has been confirmed (i.e., once it meets minimum enrollment). An email will be sent to all participants when the class is confirmed as a go. Once the confirmation email goes out stating that minimum enrollment has been met, you may begin making travel plans, booking accommodations and making payments toward your class balance. It is at this point the Instructors ticket and room reservations will be made.

If you are interested in making partial or monthly debit payments please contact me! You can mail checks for any mount or call me and make a partial over the phone. I can also set up monthly debits via STRIPE.

The deposit signifies your commitment to joining the workshop. As our classes are very popular and our studio space is limited, reserving your spot excludes others from registering. Our system allows for a maximum of 10 participants per class. Due to this limitation, Aya Fiber Studio has a strict cancellation policy and must charge cancellation fees for any changes in plans. While we understand that circumstances can change, we rely on advance registrations for ordering materials and planning, and cancellations cannot always be accommodated.

If you must cancel, you may transfer your deposit to another workshop within one year. Please note that these deposits are typically used to cover initial expenses such as registration costs, facilitator contracts, material acquisition, transportation, and housing/studio arrangements for instructors.

**Visiting Instructor Workshops** are marked as "PENDING" until the minimum enrollment is reached. Once this minimum is met and the class is given the go-ahead, you will receive an email confirmation. At this point, students can start making travel arrangements and pay the remaining balance for their workshop. Supplies will be ordered, instructors will purchase airfare, and students can begin planning travel. Please remember that your cancellation could affect all registered students if the class has low enrollment.

**Class Non-Refundable Deposits** are typically 20% of the class price or a minimum of $80. This is the amount paid when you registered for the class.

Registrations are accepted on a first-come, first-served basis. Our workshop enrollments are limited; we aim to keep class sizes to 10 students. Occasionally, we may allow two additional students if the class does not require a lot of table space. Most classes with visiting instructors require a minimum enrollment of 6 students to proceed. For workshops taught by Suzanne Connors, classes with less than minimum enrollment will still be taught, and they are almost always conducted as scheduled.

The studio may wait up to two weeks before a class is scheduled to be canceled or rescheduled due to low enrollment. Early registration is encouraged, as many workshops fill quickly, especially during Florida's high season. Additionally, waiting too long may make it difficult to secure travel accommodations for both students and instructors.

Please note that Aya Fiber Studio assumes no responsibility if you are unable to secure travel accommodations.

STUDENT CANCELLATIONS:

Participant cancellations must be made in writing by mail, or email (suzanne@ayafiberstudio.com.)

No phone calls, or FB Messenger, please! Even if you cancel via the self-service link on Corsizio- YOU MUST CONFIRM YOUR CANCELLATION IN WRITING! The system does not notify me of self-serve cancellations and refunds are not automatic. All refunds will be less the class deposit as a cancellation fee and will be returned to the same account payment was made using if possible.

We do understand that sometimes things just happen so the owner has the only right to be flexible here, please email me!

All deposits are non-refundable, but I am also reasonable!

UP to 60 DAYS BEFORE WORKSHOP or Until CLASS has been confirmed GO ( this means that a confirmation email has been sent that class is confirmed )

  • If you submit a WRITTEN withdrawal request more than 60 days before the workshop starts, you will receive a refund for any monies paid, minus the cancellation fee which is equal to the class deposit fee,

    or

  • You can transfer your registration full to another Aya Workshop within one year at no cost, but you must do this at the time of canceling. You can only transfer once; any subsequent cancellations will follow standard policies. Credits cannot be held longer than one year for accounting reasons. You can also transfer your spot to someone else without a fee.

    Once the Workshop has been confirmed GO

    (no time limitation)

  • If you submit a WRITTEN withdrawal request once the class has been confirmed as a GO and the teacher and other students have begun making travel arrangements, you will receive a refund for any monies paid, minus the cancellation fee which is equal to the class deposit fee,


    LESS THAN 45 DAYS BEFORE THE WORKSHOP-

  • You can transfer your registration to another Aya Workshop within one year less the deposit, but you must do this at the time of canceling. You can only transfer once; any subsequent cancellations will follow standard policies. Credits cannot be held longer than one year for accounting reasons. You can also transfer your spot to someone else without a fee.

    LESS THAN 30 DAYS BEFORE THE WORKSHOP-

  •  All payments are final and non-refundable. Balances may not be transferred to another class. Full payment was due at least 45-30 days before the workshop, or when you are contacted. Currently, all seats are sold out, and your registration prevented others from signing up. Our instructors have already booked travel and prepared materials for the class. If you need to cancel, please try to find someone to take your place. Last-minute openings are hard to fill since most of our students travel, and cancellations create challenges for our teachers and studio.

    IF YOU DO NOT SHOW UP-

  • you will lose your full tuition and materials. Special order materials are not refundable. Sometimes, instructors will need special fabrics or supplies for a class. If paid for in advance, these fabrics belong to you, and we will ship them at your cost. Alternatively, we can hold the fabric until the class is finished and attempt to sell it, refunding the cost minus a 10% handling fee.


    STUDIO CANCELLATIONS:

WHAT IT WOULD TAKE FOR THE STUDIO TO CANCEL A WORKSHOP:

  • The Aya Fiber Studio does everything possible to NOT cancel a workshop. We understand that all participants have made plans such as plane tickets, hotel reservations, and rental cars, and have purchased materials and equipment, so canceling a workshop would be an incredible inconvenience for EVERYONE (with or without travel insurance).

  • We will only cancel a workshop if class minimum enrollment is unmet or in an emergency that can’t be ignored. Any act of God, including but not limited to hurricanes, pandemics, etc. that causes a cancellation beyond the control of The Aya Fiber Studio will result in the workshop being rescheduled to another date (pending instructor availability) All registered students will be automatically transferred to the new class date.

  • If an Instructor cannot travel due to a pandemic/ emergency, the Aya Fiber Studio reserves the right to hold the class as a hybrid workshop. Hybrid workshops will ONLY be held for registered students.

  • If a class is canceled by the Studio due to insufficient enrollment, illness of the instructor, or emergencies beyond our control, your deposit/tuition will be refunded in full or you can choose a credit for an alternative class on our schedule to be taken within a 1-year TIME-FRAME. 

  • The Aya Fiber Studio is not responsible for providing make-up classes or issuing refunds, credits, or transfers for sessions missed because of illness, emergencies, or other events beyond our control.

  • The Studio recommends purchasing travel insurance if you are purchasing flights early, this is helpful if a class is canceled due to low enrollment or other emergencies beyond our control. (Cancel for any reason) We recommend waiting for a confirmation email or calling to check enrollment before purchasing flights, we typically wait up until 15 days before the class start date to cancel or reschedule a class, especially if other students have already made travel arrangements. If you have not heard from us please call before making travel arrangements.

  • The Aya Fiber Studio reserves the right to substitute facilitators, hold hybrid workshops, or reschedule or cancel workshops due to circumstances beyond its control.


    WAITLISTED CLASSES:

  • Waitlists will be filled in the order they were registered; you must register for the waitlist online - our system will automatically notify you when a space becomes available. I can only hold the class registration for 24 hours once notice has been sent. If I do not hear from you, I will move on to the next person in line. IF YOU RECEIVE NOTIFICATION, either register immediately or contact me by email or phone to let me know your intent. Note: With the Corsizio registration system, you can log in and cancel registration yourself

  • All information provided to the Aya Fiber Studio is kept confidential and is NOT shared, sold, or otherwise used by any entity

  • We do not keep credit card information on file to charge balances. Please contact us or use the website to pay the balance


    THE INSTRUCTOR RESERVES THE RIGHT TO REMOVE DISRUPTIVE STUDENTS FROM THE CLASS IF THEY PRESENT A THREAT TO THE EXPERIENCE OF OTHER STUDENTS.          

There will be no refunds for students who are dismissed for cause, including no refunds for tuition for missed classes, unused lodging or meals or lab and material fees

Studio cannot be responsible for non-refundable travel or accommodation costs.


MEDIA RELEASE

When registering for a class, you give The Aya Fiber Studio the right to use images of you, or your work, purely for publicity, promotional and marketing materials relating to Studio programming. Your name will never be used unless we specifically ask for your permission.

If, for any reason, you feel very strongly against having any images used, please contact us in writing or via email (suzanne@ayafiberstudio.com) following your registration, so that we may keep it on file. If you have any questions about any workshop please do contact me via email suzanne@ayafiberstudio.com before registering so we can ensure, as best as possible, that you are registering for a class that you will enjoy.

After registering, the organizers accept no liability in assuring that the class meets your expectations.


PROPERTY DAMAGE

The Aya Fiber Studio reserves the right to refuse service, to charge students for damaged studio property, and is not responsible for students' lost or damaged property

UPON PURCHASING A PLACE IN ANY OF OUR CLASSES YOU AGREE THAT WE ARE NOT RESPONSIBLE FOR ANY THEFT, INJURY, OR ILLNESS THAT COULD OCCUR ON OUR PREMISES OR IN OUR WORKSHOPS.
